Define the virtual assistant role

“Virtual assistant” can describe very different work. One employer may need diary and inbox administration; another may need research, CRM updates and customer coordination. List recurring responsibilities, their frequency, who approves exceptions and which decisions the assistant can make independently.

Separate core duties from occasional support. This helps candidates explain relevant evidence and prevents a general role from quietly expanding into unrelated specialist work.

A useful practical exercise might present a fictional diary with overlapping meetings, travel time and priorities. Ask the candidate to propose a schedule and explain the trade-offs. For research work, provide a narrow question and evaluate how sources and conclusions are organised.

Review software proficiency

Identify the tools that matter: calendar and email platforms, spreadsheets, documents, project-management software, CRM systems or communication tools. Ask what the candidate has done with each tool rather than treating a list of product names as proof of proficiency.

Some systems are easily learned. If your workflow is unusual, assess transferable habits—structured data entry, careful permissions and clear notes—and plan training for the specific product.

Protect confidentiality

Virtual assistants may encounter customer details, commercial information and private calendars. Explain the categories of information involved and your handling rules. Use individual accounts, least-privilege access and an approved password-sharing process rather than sending credentials informally.

Shortlist against the real workload

When reviewing profiles, look for examples that resemble the pace and judgement of your role. High-volume data processing, executive diary management and open-ended research call for different strengths. Ask how much direction the candidate received and how quality was checked.

If the assistant will communicate in your name, include that responsibility in the assessment. Review a fictional draft and discuss which messages require approval. Clear delegation boundaries protect both the employer and the professional.

Evaluate remote communication

Look for concise updates, useful questions and appropriate escalation. Agree when the assistant should act, seek approval or simply provide options. If the role requires real-time coverage, state the working window and required time-zone overlap before interview.

Set up recurring work clearly

Create short procedures for high-frequency tasks, including inputs, deadlines, quality checks and escalation points. Review the workflow after the first weeks; documentation should improve as the assistant learns the business.

Agree a weekly review that focuses on upcoming commitments, unresolved items and process improvements. A shared task system should make ownership visible without requiring constant status messages. When priorities change, update the procedure rather than relying on the assistant to remember an informal instruction.
